First step to success on your first project as a project manager

Project management is a path many people will tread upon during their careers. Some obtain the chance with the rapid growth of their company, others are given the task when a superior deems the time right. These chances often come suddenly. You may have many questions on your first project about where to start or how to put a schedule together. This article provides tips on your first steps to project management.

1. Understand your responsibilities and authority

First, it is important to understand the responsibilities and authority that come with your post. It is often best to check your job description but Japanese companies do not have one most of the time. In such cases, actively confirm your responsibilities and authority with your superior.

2. Make the project scope clear

Make the project scope, that is the goals, deliverables, objectives, tasks, etc. clear and in writing. This stage of planning is extremely important. Take a wedding reception event for example. A project scope statement such as “prepare a wedding reception including dining and live performance for 100 people by March next year. The budget is 3 million yen”, will make setting out the necessary tasks and putting together a schedule easier.

3. Have a good grasp on the resources you have

It is also important to have a good grasp on the resources, such as the staff, facilities, equipment, and budget, available for the project. The project manager does not have direct authority over such resources but as the project progresses, they are often forced to make decisions about adjusting the resources available.

Keeping these tips in mind as you plan and proceed on your project will lead to smooth progress.
